Cancellation Policy

Booking & Collaboration Policy To ensure every shared space is thoughtfully prepared and executed with intention, please review our booking and collaboration guidelines below: 1. Inquiry & Consultation Because every Immersive Experience is uniquely designed for your group, all bookings begin with an inquiry form submission. Following your submission, we will schedule a brief collaboration call to finalize your format, focus, and desired outcomes before issuing a custom proposal. 2. Reserving Your Date & Deposit Once your custom proposal is approved, a 50% non-refundable retainer/deposit is required to officially reserve your date and time on our calendar. Dates are not held on a tentative basis and remain open until the deposit is received. 3. Final Headcount & Customization To ensure all custom journal packets, reflection tools, or materials are fully prepared for your attendees, final participant counts must be confirmed at least 14 days prior to the event date. Any adjustments to the scope or attendee count after this window may be subject to additional material fees. 4. Balance Due The remaining balance for your Immersive Experience is due 7 days prior to the scheduled event date. 5. Rescheduling & Cancellations Rescheduling: If you need to reschedule your event, requests made at least 14 days in advance will have their 50% deposit fully transferred to a new date within six months, subject to availability. Cancellations: Cancellations made less than 14 days prior to the event forfeit the deposit, as custom preparation and blocked calendar time have already been committed.
